Application for Experiments


Two proposal review rounds are held each year, with deadlines for submission of applications on June 30th and January 15th for the scheduling periods October 1st to March 31st and April 1st to September 30th, respectively. 
Please check your proposal with ANKA beamline staff before submission!
It is important to carefully choose the "main proposer" since this person receives all correspondence related to the project and is expected to act as the experiment team coordinator if the project is allocated time for their experiment. 
Each application is submitted to an international Peer Review Committee. Members of this committee are specialists in relevant areas of science and are appointed by the ANKA management. More details can be found in part Users' Comittee

Proposals


Applications for experiments must be submitted electronically for the following categories of reviewed proposals:
  • Standard Proposal
  • Long Term Proposal
  • Rapid Access Proposal
  • Industrial Proposal

Standard Proposal
Applications for experiments at the ANKA beamlines consist of the completion and submission of the Electronic Standard Application Form and the completion of the Experimental Method form.
Proposals have to be written in English language.
All sections of the form must be completed. Particular attention should be given to the safety aspects and the name and characteristics of the substance(s) should be completed carefully. Please respect the space available on the form. 
An experiment report on previous measurements must be submitted electronically before subsequent requests for experiment time are made using the Experiment Report Form [see below]. Please mention on your new application form the experiment(s) for which you have submitted report(s).
Time for experiments at ANKA beamlines is granted in hours. 
An interim report has to be written after the first year.

Long Term Proposal
Long term proposals can be submitted for a period of up to two years. However, in a long term proposal its high standard of scientific importance should be clearly stated. A proven experience of successful experiments at ANKA beamlines should be given, as well as a time schedule for the work and a clear reason why a normal 6 month application isn't suitable for this project. Acceptable reasons for long-term application would be for example a large investment in equipment that will be later on available also for the users’ community. The need to guarantee beamtime for a PhD or postdoc project could not be accepted as a reason for a long term application for external applicants.
The extent of a long term proposal should not exceed 6 pages.
 
Rapid Access Proposal
Papid access is only offered for short and urgent experiments. Please note that you can aks for rapid access at any time.
Applications also consist of the completion and submission of the Electronic Standard Appli­cation Form and the completion of the Expe­rimental Method Form. Please mention your reasons why your experiment is urgent.
After submitting your proposal please send a letter to the User Office and ask for Rapid Access.

Industrial Proposal
Industrial projects will be handled like normal scientific applications if they are open research and the results will be published immediately. 
For industrial research with "guaranty for confidentiality" special conditions exist. Please contact:

You can apply for beamtime at ANKA in the following Fields of Research:

Important: Please note that the international Peer Review Committee will consider applications only for those instrument(s) which are requested on the proposal form. You are therefore requested to contact the scientists in charge of beamlines on which your project may be feasible, prior to submitting your application. If you are requesting a lab/instrument for the first time, consultations prior to submission are essential.

Electronic Utilities for Users


Please use the electronic submission online interface to submit proposals and experiment reports, and to list and consult previous proposals and experiments.

Your login
In order to complete the Electronic Proposal Form you will require your ANKA login and password. These are sent out regularly by the ANKA User Office. If you are known to the User Office but are not in possession of your login and password, kindly login to the SMIS online interface and click “send password”. If you are not known to the ANKA User Office you will be supplied with a login and password when you connect to the application for the first time. If you have any questions or problems, please contact the ANKA User Office.
 

 

Instructions for the Electronic Submission
 

The Electronic Submission consists of the following separate steps: 
  • Complete and submit the Electronic Standard Application Form for a standard proposal or the Electronic Long Term Application Form for a long term proposal on the web, where data (details for the main-proposer, the co-proposer(s), proposal title, beamline(s) and days requested,...) are submitted directly into the SMIS system.
  • If you forgot something in your application form, please go to Edit and modify your proposal.
  • Prepare the description of the experimental method for a standard proposal or long term proposal using the available template: MS Word for Windows or LaTeX. Please note that the lengh to the document is limited 2 pages of A4 format, and the font height should not be smaller than 12 pt. The size should not exceed 3 MB.
  • Upload the Experimental Method Form (PDF file).
  • Please note that you will be able to modify your proposal (electronic application form and experimental method) until the deadline. 
  • Print out your proposal and send a signed copy through the post to:

Experimental Method Form


To complete your proposal you have to upload the Experimental Method Form. Please download one of the templates, complete and submit it.
 

Aim of the project and scientific background
State clearly the aim of the proposed experiment together with the general and specific scientific background; give results of preliminary work carried out with synchrotron radiation and/or other methods.
Standard application
For a normal application please explain the scientific importance and originality of your proposal. Especially for scientists who are new in the respective field the following questions might be helpful to write an application for experimental time at ANKA: Please tell us what you want to measure, why it is new or interesting? Why do you need the instruments for your measurements? Do you have experience in the measurements proposed? Please give references, preferably own references.
Long term application (2 year duration)
In a long term proposal the aim of the proposed experiment and its high standard of scientific importance should be clearly stated together with the general and specific scientific background. A proven experience of preliminary successful experiments at the beamlines and/or with other methods should be given.
Please include a time table for your work and give detailed reasons why the project needs a long term commitment, rather than a 6-month rolling allocation of time for experiments. Acceptable reasons for long term application would be for example a large investment in equipment that will be later on available also for the users’ community.
Continuation project
If you are asking for a continuation project, please notice, that the application will be graded due to the quality of the progress report, the preliminary results and the expected results in case of continuation. A continuing application with a good report will be weighted higher than a new application of equivalent scientific excellence, whereas a poor report can lead to downgrading compared to an equivalent new application. This means it is advantageous to send more specific reports about what has been done and what has been learned. 

Experimental method
The constitution should be described, which will be made for the reception, preparation, use and disposal of the sample(s).
Additionally the experimental set-up and requirements should be described in some detail. Queries concerning the feasibility (technical or safety aspects) of an experiment should be clarified with ANKA staff before the proposal is submitted. The User Office assists you to find the most appropriate person.
Safety considerations
Information about sample, sample environments and safety aspects has to be completed every time you apply for beamtime.
Experimental conditions requiring special safety precautions such as the use of lasers, high pressure cells, bacteria, viruses, dangerous substances, toxic substances and radioactive materials, must be clearly stated in the proposal. Moreover, any ancillary equipment supplied by the user must conform to the appropriate German regulations.
Failure to provide this information in the correct format will mean an application will NOT be accepted. Missing information can have the result that we are not allowed to run the experiment.

Results expected
Describe the results expected from the measurements, their scientific (or technical) relevance, and how they relate to existing work on the topic.

Experimental Time Allocation


The Review Committee considers the proposals, grade them according to scientific excellence, adjust the requested time for experiments if required and recommend proposals to be allocated time for experiments on specific beamlines/instruments. 
The time for experiments is allocated on the basis of scientific merit, following the recommendations of the Review Committees and provided the experiment proposed meets technical feasibility and safety requirements.
Following each meeting of the Review Committees, proposers are informed of the decisions taken.
When beamtime is allocated, invitations for experiments, together with detailed instructions, are then communicated to the Proposers concerned by the ANKA User Office several weeks ahead of the scheduled experiment.

Safety


For your visit at ANKA please follow the Safety Regulations at ANKA and the rules for the Chemistry Laboratory. Additionally you should read the General Safety Regulations of the Karlsruhe Institute of Technology (KIT).

Safety hint:
Experiments utilizing lasers, high pressure cells, toxic, biological or radioactive substances, etc. have to follow special safety precautions. Please fill the safety form with much care. The safety officer may ask you to supply supplementary safety documentation. Any additional equipment installed by the user has to meet the German (and in special cases the KIT) safety regulations which will be checked by our safety officers. Safety regulations at ANKA can be requested from the User Office.

EU Support


The European Community supports the network “Integrated Infrastructure Initiative (I3), European Light Sources Activities (ELISA)”, embedded in the Area “Research Infrastructure” under the FP7 program "Structuring the European Research Area".
This integrating activity opens up a very large network of existing facilities to the entire European user community and is a bottom-up approach targeting a variety of different disciplines. The open access and the resulting exchanges will lead to a better
integration of national facilities. This project has strategic objectives:
  • to support transnational users of national facilities in the domain of synchrotron and FEL science; 
  • to conduct a set of joint research activities
    (JRAs) targeting this issue in three crucial areas: FEL components, detectors and optics.
